Configuring leave policies

 

Organizations offer different kinds of leave, with paid leave being the most common leave type. Examples of this type of leave are vacation leave, general sick leave,  and holiday leave. Although employers may not be required to provide such fringe benefits, they may be legally obligated to comply with any policies or practices that grant leave benefit, either paid or unpaid, to employees. 

Once you figure out types of leave for your employee, you can start to tackle your process in Swingvy. 

To begin, select the leave types and click on it. Swingvy creates the most basic leave types for you and you can configure every leave types setting accordingly.

Here is what you can do with your leave types.

1 - Define your leave cycle

A leave cycle is the 12 month period on which time off (vacation or any other type of leave) is calculated and granted to employees in accordance with their employment contract. 
There are 2 types of leave cycle to choose from:
Calendar Year
Follows standard calendar, starting from 1st January - 31st December for all employees
 
Custom Cycle
Follows custom 12 month period you select, starting on the same date for all employees. Example: 1st September - 31 August 
Always remember that, 
1. All leave balances will be renewed when the new cycle begins.
2. Every leave cycle month will begin on the 1st of the calendar month
Pro tips 
1.  We are unable to cater to individual cycle at the moment. Swingvy will keep you posted about this feature. 

2 - Customize an entitlement group

Set the assignee and entitlement of this leave policy. You can customize an entitlement group based on your needs. 

  

Example :

Annual leave entitlement for all employee is 18 days. Some company might have a policy where an employee who has worked for more than two years will qualify more. There, admin can enter a custom policy.

3 - Advanced leave settings

You can set detailed options for this leave policy.

(a) Define your leave calculation

Monthly basis
By selecting the monthly calculation, leave balances will be allocated to the employees on the first day of every month.
Number of leaves allocated on the 1st day of every month: Leave Entitlement/12
 
Here is a sample scenario:
Join date: 1-Jun-2017
Current date: 30-Nov-2018
Leave entitlement: 16 days
Leave calculation: 11/12 * 16 = 14.6
 
Daily basis

By selecting daily calculation, leave balances will be allocated to the employees every day.

Basic Formula: Leave Entitlement/365
 
Here is a sample scenario:
Join date: 1-Jun-2017
Current date: 30-Nov-2018
Leave entitlement: 16 days
Leave calculation: 334/365 * 16 = 14.6

(b) Carry forward

Employees are allowed to carry forward unused leave to the next cycle.
