What should I do after I complete my payroll?

Step 1: Generate automated forms

The following documents need to be generated before you can start to perform salary payments to your employee and to the related Statutory Bodies. 

Payroll report 

The payroll report is a quick way to see the payroll totals by the employee for a specific period of time. This report shows the payroll items with a subtotal for net pay, plus all the company payroll taxes are shown by an employee. You can download these files in CSV and PDF format. 

Bank files 

For GIRO bulk payment of payroll to employees, your bank would require a Bank File submission through your corporate online banking platform (Internet Banking Platform). Swingvy provides DBS,  OCBC and UOB bank files in accordance with the respective bank format requirements. Kindly update your corporate bank account details under Payroll settings. Your bank file will be available for download after completing your payroll in step payment and submission.

CPF contribution and allocation rates

CPF contributions are payable at the prevailing CPF contribution rates for your employees who are Singapore Citizens and Singapore Permanent Residents (SPR). Many employees rely on CPF savings for their retirement, healthcare and housing needs. It is important that employers pay CPF contributions promptly and correctly. CPF Board takes a serious view on employers who do not fulfil their CPF obligations.

IRAS

Settle your individual and/or property tax bills, or generate a Payment Slip No. to make payment via Internet Banking.  You need SingPass 2-Step Verification (SingPass 2FA) to log in to  mytax.iras.gov.sg. This means that you have to enter a One-Time Password (OTP) sent via SMS to your mobile phone or generated by your OneKey Token as a second level of authentication. Please register and activate your SingPass 2FA at  www.singpass.gov.sg.

Step 2: Pay your employees

There are a few methods to pay your employees: 
  • Cash
  • Cheque
  • Online Transactions 
For online transaction, you can download the bank files provided in step paymnet and submission of run payroll. However, at the moment, Swingvy only has OCBC, DBS and UOB bank file.

Step 3: Pay to Statutory Bodies

CPF

Employers are strongly encouraged to use CPF e-Submit@web to submit CPF contributions and make payment via Direct Debit. 
 
You will need the following details to perform CPF e-Submission:

  • SingPass/CorpPass 
  • A computer with internet access 
  • An email address  
  • Approved mode of payment (Direct Debit/eNETS)
  • A registered user with CPF Board for CPF e-Submission

IRAS

You need SingPass 2-Step Verification (SingPass 2FA) to log in to  mytax.iras.gov.sg. This means that you have to enter a One-Time Password (OTP) sent via SMS to your mobile phone or generated by your OneKey Token as a second level of authentication. Please register and activate your SingPass 2FA at  www.singpass.gov.sg.

Step 4: Send payslips to employees

Your employees are entitled to receive an individual, detailed written pay statement from their employer.
To send the payslip individually, you may click on the Send icon next to each of employee's name.
You can also send the payslips to all employees by checking on the Employee box and click the Send icon on the top right of the column.
 
 

Tips:

1. The system now also allows admins to send the payslip according to the company department.

2. Admins can view the status of payslips (Not sent/Sent)

 
Your employee will receive their payslip notification via email. However, they need to login into Swingvy to see their payslip due to security purposes.

The payslips will only be available for viewing in the employee accounts if the payslips have been 'sent' upon completing payroll.
